I apologize if you received this message more than once, there was some
confusion in the mailing lists.
Proposals are due by *October 16, 2023*. For a start in December and
allow enough time to SciOps to prepare the long term schedule we need to
meet the week*November 6 to 10*, or beginning of the following week at
the latest.
Although November may seem a long way off, agendas are filling up fast
and we need to find 1 1/2 days for ranking and a time for working groups
to present their expectations. So please, do fill the doodle

For those who have already done so, check that you also filled for the 2
days of extension from the original schedule.

Dear all,
I was a bit confused about the mailing lists on Tuesday during the
in-person oc meeting. The policy had actually changed a few times during
the past 5 years.
the hess-oc(a)mpi-hd.mpg.de mailing lists reaches:
hess-sciops (ex-officio members of the oc)
hess-ec (ex-officio members of the oc)
all voting members of the oc
-none else
the Hess-ap(a)lsw.uni-heidelberg.de list reaches:
the conveners of the 7 AP working groups
the head of the mwlboard (currently Alicja, also a voting oc member)
the AP dept. chair
the director
-none else
I believe this reflects the actual needs, but requires to submit mail to
both lists for all infomation that is supposed to reach the *full* oc
(which includes ex-officio members, voting members, and advisory members
(wg conveners).
In case anyone feels a different setup would be preferred, pls discuss
either on one of the lists or in a forthcoming ap or oc mtg.

I would like to start to set up a preliminary agenda soon - just placing the different block sessions to start with.
Can you please let me know
1 - if you as working group convener you have some constraint, e.g. if you cannot attend the meeting some days or half days (I already noted Matteo for the AGN session and Mathieu for the IT session)
2 - an estimation of the time needed for your session.
3 - any other specific request :-)

Dear WG conveners, Armelle,
Unlike discussed during the AP meeting last Friday, the plan for filling up the agenda is that Armelle will take the table of talks and fills this into the agenda.
However, it is up to the conveners to check the agenda/table and see if they are satisfied with the time slots/durations of the talks!
Also note that each WG session will start with an introduction by the WG convener with a summary of the WG central science themes, a some summary of activity and a vision for the future/extension phase(s).
Warn me and Armelle if you are not present, then we can discuss how to solve this (another group member could present, or me, etc).
