Dear Emma, All,

first I'd like to thank you all for  all your contributions to the (I think) a fruitful F2F-meeting with lively discussions that we had last Tuesday/Wednesday in Heidelberg.

Thanks so much, Emma, for drafting this email below. While I think it is important to transport our envisioned structure for the AP program of the collaboration meeting to all WGs so that everybody sees the flow of topics, it might be difficult to coordinate it the way you propose as some of the WGs have (wisely) already started with collecting the talks that shall be presented at the collaboration meeting. However, I might be wrong. Please (all) comment.
Nevertheless I have edited (below) a bit your draft email on the AP program at the upcoming collaboration meeting to all WGs. Please change where you find appropriate.

Meanwhile I have created a confluence page for the preparation of the AP program at the collaboration meeting:
https://hess-confluence.desy.de/confluence/pages/viewpage.action?pageId=103973383

Please fill in the talks as soon as possible. More urgent is to get a time estimate for each topic, and for the total AP program (until Tuesday evening if possible), so that it can be communicated to the EC as soon as possible.

All the best,
Anita

Dear colleagues,

we had an efficient AP F2F meeting in Heidelberg beginning of this week, where we discussed several issues, amongst others  on how to make an efficient and engaging AP program for the upcoming collaboration meeting. We would like to change a bit the previous structure which typically had many contributions for (sometimes not very incremental) status reports. Rather than that, we propose to ask the different Task/Project groups to collectively prepare a general talk and choose a speaker that would give a scientific context and a summary of the results. We encourage you too to include also the MWL needs in each of the presentations.
We understand it is also important to have detailed discussions on particular aspects of the project or analysis, therefore we also propose to use some of the Free Time/Special Sessions slots to get together and discuss some of these particular projects.

As preliminary agenda, we would like to have the following contributions. You can find for each WG, some of the topics that could be included, if you would like to share the status of the project on the Col. Mtg..

a/ Session on Galactic Center  / CR diffusion

   We envision 3 contributions including:

o   Astrophysics

o   Dark Matter

o   Diffuse

For  "Astrophysics"

- Topics under the Diffuse WG: …..

- Topics under the Stellar WG:  Variability of the GC

We would like to encourage those working on the Astrophysics aspects of the GC region to organize such talk.

Please add Sabrina and Emma in the loop, we can give you more detailed information on the expectation from this talk.

For "Dark Matter"

Please add Dieter in the loop, he can give you more detailed information on the expectation from this talk.

For "Diffuse"
- Topics under the Stellar WG:  LMC/SMC.
- Topics under the CR propagation WG:

Please add Sabrina and Emma in the loop, we can give you more detailed information on the expectation from this talk.

b/ Session on non-compact CRs Accelerators:

o   SNR evolution

o   Unidentified /CR PeVatrons

o   Leptonic PeVatrons

For "SNR evolution (young / old SNRs )"

- Topics under the SNR/PWN WG:

For "Unidentified / PeVatrons"

- Topics under the Stellar WG: Unidentified PeVatrons / Stellar Clusters
- Topics under the SNR/PWN WG:

Please add Jacco and Emma in the loop, we can give you more detailed information on the expectation from this talk.

For "Leptonic PeVatrons"
- Topics under the Stellar WG: Binary
- Topics under the SNR/PWN WG:

Please add Jacco and Emma in the loop, we can give you more detailed information on the expectation from this talk.

c/  Compact Objects

o   Pulsars

o   Microquasars

o   Jets M87

o   Jets monitoring / flares

For "Pulsars"

- Topics under the Stellar WG: Vela / Crab / LIV/ J1706

Please add Emma in the loop, she can give you more detailed information on the expectation from this talk.

For "Microquasars"

- Topics under the Jets: SS433

Please add Garret and Emma in the loop, we can give you more detailed information on the expectation from this talk.

For "Jets-M87"

- Topics under the Jets:

Please add Garret in the loop, he can give you more detailed information on the expectation from this talk.

For "Jets monitoring/flares"

- Topics under the Jets:

Please add Garret in the loop, he can give you more detailed information on the expectation from this talk.

d/ Pair-halo, EBL

e/ GW Follow-up

Please add Fabian in the loop, he can give you more detailed information on the expectation from this talk.

f/ Fast variability:

o   FRBs

o   Primordial Black Holes

For "FRBs"

Please add Fabian in the loop, he can give you more detailed information on the expectation from this talk.

For "Primordial Black Holes"

Please add Dieter in the loop, he can give you more detailed information on the expectation from this talk.

oAnyone in the WGs is of course welcome to suggest another contributed talk, if you think the topic is relevant and should be discussed. Please discuss it with your WG coordinator as soon as possible.

The Free Time/Special session should be discussed in each of the WG mailing list. Likewise you are invited to contact your WG coordinator to suggest any relevant topic.

Dear all,

I was drafting an email to the Stellar WG, but I realised that we need a lot of coordination between different groups, if we want to have the talks we proposed in the Agenda. I wonder then if it is better to write a common email that we can all draft together, to organise the contributions?

I came out with the following email. Please feel free to modify and critisize, it is just a first draft and I didn’t even read it twice…

Cheers

Dear colleagues,

we had an efficient AP F2F meeting in Heidelberg beginning of this week, where we discussed several issues, including the new publication policy and structure for the collaboration meeting.

Regarding the first point, publication policy, the previous procedure has been modified to try to make the process of paper publishing more efficient. The new structure can be found here: (LINK TO CONFLUENCE)
The basic steps are the following:

New Idea -> Present it on the WG (and approved) -> Work/DATA & presentation of (semi)final results -> Draft and circulation among WG -> Paper Review by internal referees -> Collaboration Review -> Paper submission

We also had a long discussion on how to make an efficient and engaging AP program during the collaboration meeting. We would like to somehow change a bit the previous structure with many contributions for (sometimes not very incremental) status report. Rather than that, we propose to ask the different Task/Project groups to collectively prepare a general talk and choose a speaker that would give a scientific context and a summary of the results. We understand it is also important to have detailed discussions on particular aspects of the analysis or project, therefore we also propose to use some of the Free Time/Special Sessions slots to get together and discuss some of these particular projects.
