Dear All,

Please find below a message from Stefan!

In summary: you as WG convener need to fill out the block program of your session. I have done Sabrina’s request as an example!
Don’t exceed the time limits!

Unfortunately, I am rather time constraint today and tomorrow.

Dear all,

apparently my mail concerning the program for next week's collaboration
meeting was not entirely cle
ar.

We urgently need the program for the collaboration meeting BEFORE the
meeting actually starts. The p
rogram shall be listed under 'Detailed programme' of the confluence page
https://eur04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fhess-confluence.desy.de%2Fconfluence%2Fdisplay%2FHESS%2F2023%2BSpring%2Bcollaboration%2Bmeeting%2BIreland&data=05%7C01%7Cj.vink%40uva.nl%7C4fd3c772e2fb489d293408db3c237f98%7Ca0f1cacd618c4403b94576fb3d6874e5%7C0%7C0%7C638169895417145841%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C3000%7C%7C%7C&sdata=%2B5efoCwi3VwljYYkfRVspngyPy1UHMlMlmoa9iHj%2F%2Fg%3D&reserved=0

So far ONLY the IT Department has entered a detailed program. I would like
to ask all other WG conve
ners to complete the program for your WGs.

Unfortunately I have a rather mixed set of information (mails from Fabian
and Sabrina), a google-doc
and a list on
https://eur04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fhess-confluence.desy.de%2Fconfluence%2Fdisplay%2FHESS%2FAstrophysics%2Btalk%2Brequests%2Bfo&data=05%7C01%7Cj.vink%40uva.nl%7C4fd3c772e2fb489d293408db3c237f98%7Ca0f1cacd618c4403b94576fb3d6874e5%7C0%7C0%7C638169895417145841%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C3000%7C%7C%7C&sdata=fv%2F4vS542i9Vx1jtn4WMuMl2F%2Fx5CXqziUaeT%2FucB70%3D&reserved=0
r+1st+semester+2023+collaboration+meeting+in+Ireland  , which differ
somewhat in details. As we need
to proceed urgently, I distributed all the available time according to an
'average' of the various
bits of information and distributed the sessions as indicated. The total
time for each WG is given i
n the 'detailed program' at the start of the block reserved for each WG.

Please fill the detailed program according to YOUR priorities in the
detailed program session (follo
wing the example of the IT department which has been added already).

Please  START at the time indicated as start-time in the 'detailed program'.
Do NOT overbook the total allocation!
The time per contribution, the amount of time for questions, and the
sequence is YOUR choice, but I
suggest to follow the recommendations from previous meetings which are
given below (ie my mail from
Thursday last week).

I strongly advise NOT to extend the amount of time beyond what it foreseen
to 'fill the allocation'.
In most groups you should have 5-15 mins to spare and I suggest to keep
this for the end of your se
ssion. We typically need more time than anticipate and normally have to
cut the breaks if the chairs
are not doing their job. It is preferred to keep some reserve at the end
of each WG session.

PLEASE TRY TO FILL YOUR SESSION A.S.A.P.

Looking forward to see you next week,
Stefan
