it looks like we do need a (hopefully quick) vibe meeting tomorrow as the ideas for the telecon meeting AP program are diverging quite a bit.

I agree with the general idea of a meeting of some type, but discussions will be difficult. Further we should decide on a date soon and also to give people time to prepare, having the meeting towards the end of the week will help. No doubt SC, OC plans are being made in parallel so we should be careful not to overlap.

 

I remain in a tricky position of having a couple pf people who have requested to give talks in the “old” style of a task update and who disagree with the new format. If there’s any consensus about how to shepherd these, I would appreciate any thoughts.

 

I’ll check with Laura, Dorit and Michael Z. who are confirmed and were writing their talks. I expect they would be happy to talk pretty much as they had been planning to do so.

thanks very much for your input so far! From this I conclude that the answer to the question "if" is a "yes" so far. (Please all other comment!)

 

Concerning the "when" there seems a slight tendency for next week (i.e., at the time of the original collaboration meeting). This would benefit from the fact that most HESS members anyway kept next week free for a HESS meeting. It therefore makes sense that we should benefit from this and also schedule any online AP program next week (in whatever form it may be). A time slot towards end of next week gives people some time to possibly adjust the contributions (if necessary). This is my personal opinion, however, and is, of course, open for discussion.

 

Less clear seems to me the "what" and "in which form/format". The form/format depends significantly on the "what". What do we want with our AP program. Informing the collaboration? Or more? If yes, what exactly? A 1:1-transformation of our original F2F AP program to a vibe-meeting seems to me difficult. As Emma already noted, we had a program that should foster discussions. This is difficult in vibe-meetings, works maybe within smaller groups meeting on vibe, but is essentially not really taking place when larger groups (e.g., whole collaboration) meets via vibe.

make an online event seems feasible but requires time to organise it. I am not sure the structure we had in mind, focus on fostering discussion, works anymore, and we need time not only to rethink it but also to communicate to our colleagues. I worry people would only connect to listen the talks they care about, which is similar to the regular calls on different topics we have. 

 

I proposed yesterday on my WG to maintain a couple of Skype meetings on different projects. From my list:

 

•Unidentified PeVatrons

We could have a call on this - but we have regular ones, if only the people  who attend those join, not sure if we better choose a more suitable time for the scales of the project (eg when we are done with all the source analysis)

•Binaries above 10 TeV –Project kick-off meeting

This could happen, but we need a bit of brainstorming before hand

Compact binary systems –Including LMXB, Globular Clusters, Mspulsars

A call on novae was suggested. 

 

3(2) calls… I am not sure how the general talks would work. In any case I think we need a uniform decision (not like let’s schedule some talk and some others not) and pretty fast, so people know what’s happening. Maybe it is worth it to delay our meeting department and schedule a couple of days in a few weeks, with a clear online structure. (said that, I dont know what’s the best way to organise an online meeting, would have to investigate)

   you will have received the message from Stefan Wagner that,
unfortunately, the HESS collaboration meeting in Obergurgl has to be
cancelled. Still, critical status updates are planned to be transported
to the whole collaboration, also supported via a dedicated vibe meeting.
Further forms of exchanging information are possible. E.g., each
department may organize also a department-wide vibe meeting with talks,
reports, etc that would be beneficial to communicate to beyond the WG.
For the Astrophysics Department it is upon us:

Please comment by tomorrow (Thursday) late afternoon (~5pm). We may also
have a quick vibe meeting on this (Friday?) if you think it is helpful.

I am truly sorry for this turn. A lot of work and time has flown already
into the preparations of an attractive AP Program for a
F2F(!)-collaboration meeting. Vibe meetings can not substitute the
important discussions that are typically triggered in F2F-meetings.
Still, to demonstrate an active astrophysics program within HESS,
motivation for most to dedicate a lot of time and engagement to the HESS
experiment, is important.
