Dear all,
following our discussion regarding the next collaboration meeting, I
iterated your preference with the group leaders who also support the
choice of a virtual collaboration meeting.
A number of suggestions concerning the dates and the format were made.
A majority prefers the meeting to be arranged in a series of 7 times 3h or
5 times 4h slots, to run these meetings during normal European working
hours and arrange the 5 to 7 meetings during the fortnight November 2 -
13. Some overlap with other conferences is unavoidable but we are still
able to optimize the time slots on the various days.
In order to optimize the exchange of meetings, it was also suggested to
upload ALL presentations a week in advance and then give only a summary of
the contents in the oral presentation and thus allow more room for
discussion on the slides that have already been uploaded. Speakers may
also consider to record their presentations and upload these recordings as
well as slides.
Discussions regarding new observing proposals or new ideas for HESS in the
next five years are almost exclusively oral, but will still benefit from
structured preparations.
The specific format of the collaboration meeting may be different for the
presentations in our three departments and we may want to prepare the
collaboration meeting in a brief dedicated videocon of the conveners in
the dedicated departments.

I already invite all of you to post ideas that might have been iterated
in your various working groups.
