Dear conveners,
as mentioned in ap-, it- and ops- calls, we plan to prepare the case for a
further extension of HESS into 2025. This case is not meant to be an
enormous amount of work to generate a heavy document. It is rather an
opportunity for all members of the collaboration to propose changes to our
strategy for running HESS, such as, e.g., new science approaches, new
procedures and ways of calibrating data to get better results. We aim for
making improvements based on our experience and shape the observing
program such that we will cover the most attractive science questions.
I would like to encourage you once more to entertain discussions in
forthcoming meetings of your working groups.
We would like to arrange a <1h meeting among all conveners in the next week
to discuss any suggestions that you might want to put forward and how to
best collect further input.
As a second topic we want to discuss the options for a collaboration
meeting in the next few months.

New subject: The forthcoming HESS collaboration meeting and preparations for further discussions
Dear all,
following our discussion regarding the next collaboration meeting, I
iterated your preference with the group leaders who also support the
choice of a virtual collaboration meeting.
A number of suggestions concerning the dates and the format were made.
A majority prefers the meeting to be arranged in a series of 7 times 3h or
5 times 4h slots, to run these meetings during normal European working
hours and arrange the 5 to 7 meetings during the fortnight November 2 -
13. Some overlap with other conferences is unavoidable but we are still
able to optimize the time slots on the various days.
In order to optimize the exchange of meetings, it was also suggested to
upload ALL presentations a week in advance and then give only a summary of
the contents in the oral presentation and thus allow more room for
discussion on the slides that have already been uploaded. Speakers may
also consider to record their presentations and upload these recordings as
well as slides.
Discussions regarding new observing proposals or new ideas for HESS in the
next five years are almost exclusively oral, but will still benefit from
structured preparations.
The specific format of the collaboration meeting may be different for the
presentations in our three departments and we may want to prepare the
collaboration meeting in a brief dedicated videocon of the conveners in
the dedicated departments.

I already invite all of you to post ideas that might have been iterated
in your various working groups.

Since many of the aspects go beyond a single department we suggest a
discussion among all working group conveners. I aim for a focused meeting
and stick to one hour.
Beyond preparations that are discussed in the individual departments, we
want to discuss options for modifications of our HESS collaboration
procedures for the period until 2024/2025.
While any changes would eventually be discussed by the CB, the group of
conveners is the body that organizes the actual work and is best aware of
options for improvements.
Trying to avoid conflicts with the OC meeting and (already scheduled) HESS
meetings, possible dates for our meeting are listed on

New subject: 2nd semester collaboration meeting 2021
Dear all,
the majority of hess-group leaders voted in favor of organising the 2nd
semester 2021 HESS collaboration meeting as a virtual event during the two
calendar weeks
starting November 1, 2021.
There will be a few conflicts during these two weeks and we should aim to
organize the meeting in such a way that the conflicts are reduced to a
minimum.
I will inform the collaboration with separate mail, but ask you to
consider with your various groups
- how much time would be desired by your groups.
- whether there are any suggestions for extraordinary events
and, iterate these within the departments.
