Next week, May 12, would be the intended date for the next AP meeting. However, my mother will be operated Thursday and will hopefully need to be picked up from the hospital the next day.
So for that reason I want to have the meeting on another day. Two dates would be convenient for me:

somewhat in details. As we need
to proceed urgently, I distributed all the available time according to an
'average' of the various
bits of information and distributed the sessions as indicated. The total
time for each WG is given i
n the 'detailed program' at the start of the block reserved for each WG.
Please fill the detailed program according to YOUR priorities in the
detailed program session (follo
wing the example of the IT department which has been added already).
Please START at the time indicated as start-time in the 'detailed program'.
Do NOT overbook the total allocation!
The time per contribution, the amount of time for questions, and the
sequence is YOUR choice, but I
suggest to follow the recommendations from previous meetings which are
given below (ie my mail from
Thursday last week).
I strongly advise NOT to extend the amount of time beyond what it foreseen
to 'fill the allocation'.
In most groups you should have 5-15 mins to spare and I suggest to keep
this for the end of your se
ssion. We typically need more time than anticipate and normally have to
cut the breaks if the chairs
are not doing their job. It is preferred to keep some reserve at the end
of each WG session.

Given that we cannot all make it I decided to to have a meeting tomorrow at 10:00, in which I will discuss the HESS Spring meeting and scheduling talks.
The reason is that Jonathan can then make it.
I will in addition be online Friday at 9:00 (so earlier!!!) to have a quick chat with those not present tomorrow. This is a sort of open door meeting.
Both will just be practical meetings, dealing with selecting the talks and making a schedule for the Ireland meeting.
I will also probe you about some highlights that I can advertise in my talk.

Dear all,
just repeating some of the info from the slack channel in case it got
missed there:
Total requested talks: 12h50m
Total available: 12h30m baseline, plus we can add 30 mins by starting
early on Tuesday.
For all WG convenors, the agreed schedule is for update talks to get
10+5 mins and walkthroughs to get 30+15 mins, and then 30 mins
discussion at end of session. Some Convenors may need a few mins to
summarise projects that don't have a talk.
**Please send me a running order for the talks in your session, and if
any talks need extra time please highlight this clearly.**
Time allocations based on the above is:
Jacco overview: 1 hr, including discussion
SNRPP: 3.75 hr,
Transients 2.25 hr (if HESS GRB Catalog is a walkthrough talk)
Stellar: 2.5 hr,
Diffusion: 1.75 hr,
Electrons: 0.33 hr (add to diffusion session?)
PBSM 0.5 hr,
AGN 1.75 hr
I suggest this schedule:
AP1: Mon 17:00-18:30 Jacco overview (1h) + PBSM (0.5h)
AP2: Tue 08:45-10:30 AGN (1.75h, could start at 08:30 if needed)
AP3: Tue 16:30-18:15 SNRPP-1 (1.75h)
AP4: Wed 08:30-10:30 Diff+electrons (2h) (Swap OPS1/AP4 in google sheet)
AP5: Thu 11:00-13:00 SNRPP-2 (2h)
AP6: Thu 14:00-15:45 Transients-1 (1.75 h)
AP7: Thu 16:15-18:00 Transients-2 (0.5 h), Stellar-1 (1.25 h)
AP8: Fri 09:00-10:30 Stellar-2 (1.25h), AP Summary/discussion (0.25 h)
Does this work for everyone? I tried to match the length of the
sessions with the requested time.
Please reply today or early tomorrow with changes because we should
finalise and publish the schedule tomorrow.

A subset of us just met to discuss the Dublin meeting schedule. We set up an online spreadsheet to make a draft program. Jonathan will first put in the skeleton and then it is up to the conveners to fill out the details with talks from their WGs.

The deadline for registering a talk is tomorrow. I will send a last reminder to hess-active to a) remind them of the deadline for talks; b) remind them of registering for the meeting, as block bookings are expiring.
I made an HESS-AP channel on slack and added all of you. We will use it to discuss iterations on the schedule.
Finally, those present agreed it would be best to have one AP overview talk. I will collect slides from all of you for such a talk.
Those not present: we can discuss tomorrow morning at 9:00.
