meeting, this Wednesday , July 13th, at 2pm CEST.
As a follow up of the discussion during the last collaboration meeting,
it is important to define which archive(s) we want to design. This means
we need to have a clear description of the different products and
estimated volumes associated. Concerning FITS production , it is
important to start now with use cases to make sure all our science will
be covered.
All this will be summarized in the introduction of the meeting.

- let me know of any other suggestion for the mtg.

Dear all,
it became apparent in the ongoing meeting that there was some uncertainty
among members about the procedures concerning the summer conferences. I
have not followed the discussions in all group meetings, but got the
impression that in a few cases the suggestions for abstracts were not
scrutinized.
While it is too late to iterate the procedures for abstract submission of
gamma2022, we should briefly iterate the next steps asap to minimize
potential disappointments and support a maximum number of teams in their
plans.
For those of you who would have a chance to connect, we will have a BRIEF
(30') meeting on Friday, April 30 9:30. Zoom details will follow asap.
The main worry is recurrent:
Only half of the presentations given at the 2021 ICRC that were meant to
also be addressed in main journal publications led to journal publications
so far.
We clearly have been too optimistic about accepting claims of the presence
of submission-ready manuscripts.
We also learnt the hard way that this has negative effect on harvesting
returns for the work involved (ie HESS results being presented on the ICRC
being used in other publications without referencing HESS journal
publications).
We obviously have to change policies. We clearly do not want to stop the
enthusiasm of people to publish, but we ought to manage the resources. I
am worried that less than half of the abstracts envisioned for gamma2022
would have a submission-ready manuscript and would hence have to be
withdrawn if they were selected for a presentation. We should hence make
sure that we concentrate efforts on the ones that have the highest chances
to actually be allowed to be presented.
The other requirement - presenting preliminary results at most one time,
implies that we will not present anything that has already been shown
unless the corresponding paper has been submitted to a journal.

thanks for the participation and discussions on Friday.
we advanced the next HESS-AP meeting from the last Friday in April (which
would have been after the 1st (virtual) part of the collaboration meeting
by two week, and shall meet again on Friday, April 8, 9:30 CEST.
As discussed in the meeting, I have transferred all entries for
conferences and talks for 2022 from the speaker's bureau webpage to the
astrophysics department page. Please only use the latter for listing new
meetings and refer/remind group members of that list if questions emerge.
I will still move the 2021 entries, such that there is a clean division
between pages and then move the speaker's bureau to read-only.
Please iterate within your groups which projects intend to present in a
summer conference in 2022 and nominate them for an update at the 1st
(virtual) part of the collaboration meeting during April 25-28. While the
deadline for A&R reviews or walkthroughs is *after* the April 25-28
meeting, the projects that are sufficiently advanced are asked to consider
giving a walkthrough talk during the meeting (we will otherwise again have
too many walkthroughs within a very short time later). Projects that are
not yet ready to present a walkthrough talk but want to submit an abstract
should give a short presentation so that everyone in the collaboration is
informed about what is coming.
Please also consider/discuss with your groups whether there are any
suggestions for special events or elements for the 2nd (physical) part of
the collaboration meeting in June (we might, eg. which to have a dedicated
mtg among us).

I now have met all but one of the preferences, but will check with

Hi all,
I just found the page<https://hess-confluence.desy.de/confluence/display/HESS/2022+1st+semester+c…> with a preliminary block agenda for the upcoming collaboration meeting. At the moment the session on Transients is scheduled for Thursday (April 28, mornin). Unfortunately I will most probably not be available on that day. Would someone be OK to swap his/her session with this one? Both Tuesday and Wednesday work fine for me…
Maybe other have similar issues? If not, we could then fill the registered talk into the various sessions and inform the speakers.

Dear AP team,
I've been in discussions with Phil Edwards (Head of CSIRO Science Operations for ATNF, operating the ATCA radio facility) regarding AGN targets for their regular monitoring campaigns with the ATCA facility.
Phil has expressed a keen interest in improving or optimising the monitoring cadence for the various TeV AGN that HESS is observing. The results of this feed into the publicly available ATCA Calibrator Database

and also to the TANAMI project, carrying out VLBI for hi-res studies of active AGN in the south.

As you may know, these projects are beginning to shift their focus to include TeV-detected AGN in recent times.
Would HESS be willing to share with Phil our AGN observing schedule, planned and achieved? Precise observation times are not needed.
A rough schedule on a monthly (period) or even weekly (if possible) would be sufficient. The information would be kept confidential and only appear in public in the calibrator database in the form of higher-cadence sampling for those particular AGN, in they are not already.
It's expected that major TeV flares from HESS would be communicated via ATels, but if needed, we could also consider sharing such information privately to increase the cadence for their ATCA monitoring. I'd be happy to draft a basic information sharing agreement if it's thought that is needed for these special cases.
